Getting started with Valix

Create your account, set up your business or practice, choose your modules, and bring in your existing data.

What Valix is

Valix is cloud accounting software built for the UK. It covers day-to-day bookkeeping, invoicing, VAT, payroll and tax, and it connects directly to HMRC and Companies House. It works for two kinds of user: a business keeping its own books, and an accounting practice acting for many clients.

Business or practice?

Choose "business" if you run one company or a sole trade. Choose "firm" if you are an accountant or bookkeeper who acts for multiple clients — you get a client list and can switch between the businesses you manage.

Create your account

  1. 1Start a free trial from the Valix home page and choose whether you are a business or a practice.
  2. 2Confirm your email address and set a strong password.
  3. 3Enter your organisation details — legal name, address, and (for a limited company) your company registration number and Unique Taxpayer Reference (UTR).
  4. 4Pick the modules you want to switch on (you can add more later).

Get your references ready

Have your company UTR, VAT registration number (if registered), and PAYE reference to hand — you will need them to file to HMRC.

Set up your company

Before you record transactions, set your accounting period (your financial year), your VAT status, and your opening balances so your reports start from the right place.

  • Accounting period — the start and end dates of your financial year.
  • VAT status — whether you are VAT registered, your scheme, and your VAT number.
  • Opening balances — the closing figures from your previous system or accountant, entered as an opening trial balance.

Bring in your existing data

Moving from another system? Import your customers, suppliers, chart of accounts and opening balances so you keep a continuous set of records. Connect a bank feed to pull in transactions automatically from your start date.

Pick a clean switchover date

The cleanest cut-over is the first day of a VAT quarter or a financial year. Enter opening balances as at the day before, so nothing is double-counted.

Frequently asked questions

Can I try Valix before paying?

Yes — you can start a free trial and explore the modules before you subscribe.

Do I need an accountant to use Valix?

No. Businesses can run their own books and file to HMRC. If you do work with an accountant, they can connect to your business through a practice account.

Can I switch modules on later?

Yes. Start with what you need and add payroll, VAT, POS or others when you are ready.
